What Space by stagewise collects, what it is used for, and who else ever sees it — in plain language, without the small print.
Who we are
Space by stagewise is built and operated by Stagewise Software Solutions Pvt. Ltd., GSTIN 24ABPCS7275J1ZN, at A1-52, Kanha Bungalows, Nr. St. Basil School, Maneja, Vadodara, Gujarat 390013, India. We are the data controller for everything described here. Reach us at admin@stagewise.app.
The short version
- Your phone number is your account. We do not ask for an email address.
- What you put into a project — messages, tasks, drawings, photographs, meeting audio — is shared with the other people on that project. That is the point of it.
- Nothing in Space watches how you use it. No analytics, no advertising. We do not build a profile of you and we have nothing to sell.
- A handful of named companies handle specific jobs for us — storing files, turning speech into text, writing draft minutes, delivering notifications. All of them are listed below.
- You can delete your account from inside the app, and there is a page explaining exactly what that does.
What we collect
Your account
Your mobile number, your name, and — if you set one — a password, which is scrambled before it is stored so nobody here can read it. We generate a placeholder email address internally because our sign-in system needs one; it is never used to contact you and cannot be signed in with.
The one-time code sent to your number, held for five minutes and then thrown away. And a record of each device you are signed in on, including its IP address, so you can sign out of all of them at once.
What you and your project create
Messages in chat and in discussions, who was named in them, and what you have read or muted. Tasks, queries and decisions with their notes, answers, options, who they are assigned to and when they are due. Polls, including who voted for what. Meeting minutes. The project itself — its address, its city and its cover photo — and its rooms, with their names, usages and photographs.
Who is on the project, on which side, and in what relation — including the name and WhatsApp number of people who never install the app, entered by whoever added them, so a family member or a vendor is still on the project. A number invited before it has an account is held until that person signs in, or until somebody removes it.
Meetings, calls and voice notes
Recordings matter, so here is exactly what happens to one.
- Audio. When somebody records a site meeting, or when a call is answered, the audio is stored. Calls are recorded as audio only, video calls included.
- Transcripts. The audio is written out in the language it was spoken in, with each speaker kept separate, and an English translation is put alongside. The original wording is never overwritten.
- Minutes and suggested points. The transcript, along with the names and roles on the project, the room names and the open points, goes to an AI service, which sends back draft minutes and suggested tasks. Each suggestion quotes the sentence it came from, so you can judge it rather than just accept it.
- Voice notes in chat go the same way: audio, transcript, English, and a one-line summary of what you asked for.
- Calls record who was invited, who joined, who declined and when, whether anyone shared a screen — and, for someone joining by link with no account, the name they typed in the lobby.
Files and photographs
Drawings, documents, site photographs and anything attached to a message — with the file name, who uploaded it, its revision letter, the note on what changed, and who has been given access to it.
Devices and notifications
If you allow notifications, we store the address Apple, Google or your browser gives us for that device, plus a short label such as "Chrome on macOS" or "iPhone 15". Signing out deletes them, so the next person to use that phone does not inherit your calls.
Technical
One sign-in cookie. No advertising cookies, no tracking pixels and no third-party scripts, on this page or in the app. Our servers keep short-lived counters that stop somebody guessing at sign-in codes.
Why we hold it
- To run the product — to show your projects to the people on them, deliver messages, ring a call, open a drawing, and write up a meeting you asked us to record.
- To keep accounts secure — verifying your number, protecting passwords, and letting you see and end your sign-ins.
- To meet legal and tax obligations in India.
We do not profile you, and we do not use your project content to train anybody's AI models. The AI described below runs once per meeting, to write up that meeting.
Who else processes it
These are the companies that handle something on our behalf. Each one gets only what its part of the product needs, and nothing else.

One note on Android previews. Android has no built-in viewer for PDFs and Office files, so to show you one the app hands a short-lived link to Google's or Microsoft's viewer and their servers draw it. It applies only to previewing those two file types on Android — not on iPhone, not in a browser, and not to anything else in the app.
We do not sell personal data, and we do not share it with anyone beyond the list above except where the law requires it or to protect someone's safety. Some of these providers operate outside India; where they do, the transfer happens under their standard contractual protections.
What we never do
- No analytics. Nothing counts your taps, times your sessions or reports your behaviour anywhere — not to us, and not to anyone else.
- No advertising and no advertising identifiers.
- No location and no contacts. The app never asks for either. It asks for the microphone, the camera, notifications, screen capture and Bluetooth — each one at the moment you use the feature that needs it, with an explanation first.
- No photo-library access. Attaching a picture goes through the system picker, which hands us the one file you chose and nothing else.
- Nothing is fetched from outside to draw the screen. Placeholder avatars, project covers and file thumbnails are drawn on your own device, so no image service learns who you work with.
How long we keep it
Some things expire on a clock:
- Sign-in codes: five minutes, three attempts.
- Sessions: 30 days, or until you sign out.
- Links used to fetch a file or upload one: between five and fifteen minutes.
- A guest link to a call: four hours after that call ends, and revocable by the host at any time.
- A voice note you record but never send: 60 minutes, then discarded.
- A recording session left open: closed automatically after 24 hours; one that captured nothing is thrown away.
- Push tokens: deleted when you sign out, and retired when a device stops accepting them.
Your project record is kept for as long as you need it.
Messages, tasks, decisions, minutes, transcripts, drawings and meeting audio stay with the project rather than expiring on a timer. They are the history of a building, and the other people on the project rely on being able to look them up years later.
Removing a file takes it out of the project straight away. We hold a backup copy for a while afterwards, so a drawing deleted by mistake — or a revision somebody withdrew in haste — can usually be restored on request. If instead you want particular files or recordings permanently erased, write to admin@stagewise.app and we will take care of it.
Deleting a whole project removes its rooms, work, chat, meetings and documents.
Your choices
- See and correct your name and password from the Profile screen.
- Turn notifications off per conversation, or entirely in your device settings. Muting a room still lets somebody reach you by naming you with an at-sign — that is the difference between muting a room and leaving it.
- Sign out everywhere, which also removes that device's notification tokens.
- Delete your account — see below.
- Ask us anything else — a copy of your data, a correction, an objection, or a complaint — at admin@stagewise.app. We answer within 30 days.
Deleting your account
You can delete your account from inside the app, or from the same screen in a browser without installing anything. It happens in two steps: your sessions and devices are cut off immediately, and 30 days later your name, phone number, avatar, password and permissions are erased for good. Signing in again before then cancels it.
What you contributed stays with the project, without your name on it, so nobody else loses the record of their own building. The full walkthrough is here.
Security
Everything travels encrypted. Passwords are never stored in a readable form. Files move over links that expire in minutes and work for exactly one file. Whether you are on a project is checked on every single request, and whether you can open a particular drawing is checked again when you open it — a file you are not entitled to see does not even report that it exists.
No system is perfect. If you find a problem, please write to admin@stagewise.app rather than posting it.
Children
Space is a tool for a professional construction project and is not directed at children. We do not knowingly create accounts for anyone under 18. If you believe a child has an account, write to us and we will remove it.
Changes
We will update this page when the product changes, and the date at the top moves with it. If a change materially affects how your information is handled, we will say so in the app before it takes effect.
